When to use this template
The domicile certificate by the landlord is a document by which the landlord confirms that a person effectively resides in their property. This document is frequently requested in Belgium for various administrative procedures.
Common situations:
- Municipal registration: when moving, the tenant must register at the population register of their new municipality. The landlord’s certificate facilitates this process
- Opening a bank account: some banks require recent proof of domicile
- Applying for benefits or social aid: the PCSW or other bodies may require this document
- Legal or administrative proceedings: when proof of residence is required

Document content
The domicile certificate must contain the following elements:
- Landlord’s identity: surname, first name, personal address, national register number (optional)
- Capacity as landlord: explicit mention of the capacity as owner or landlord of the property
- Tenant’s identity: surname, first name of the person for whom the certificate is issued
- Address of the rented property: full address of the property (street, number, floor, postcode, municipality)
- Confirmation of residence: declaration that the person effectively resides at the stated address
- Date of occupation: date on which the tenant began occupying the property
- Date and signature: date of drafting and handwritten signature of the landlord

How to deliver
The domicile certificate does not require any particular sending formalities:
- Hand delivery: the most common method of transmission, directly to the tenant
- Ordinary mail or email: sending by mail or a signed digital copy is also accepted
- No registered letter required: this document is not contentious, simple delivery suffices
- No legal deadline: the landlord may issue this certificate at any time upon request from the tenant
- Validity: some organisations (banks, PCSW, mutual insurance) require a certificate dated less than 3 months ago
