Automatic organisation and instant search
Every uploaded document is automatically linked to the relevant property and tenant. The file structure is organised logically:
- By property: all documents relating to a property are grouped together (title deed, EPC, insurance, photos)
- By tenant: lease contract, identity documents, rental deposit, correspondence
- By type: receipts, reminders, property inventories, certificates
- By date: chronological history for each category
Full-text search allows you to find a document by its content, name, or date. You can also filter by period, document type, or status (signed, pending, expired).
The system automatically detects missing or expired documents and alerts you. For example, if a tenant’s insurance certificate is about to expire, you receive a notification to request its renewal.
Document generation and signing
BailBelgique does not just store your documents — it generates them automatically:
Rent receipts: generated each month upon receipt of payment, with a breakdown of rent and charges. They are automatically made available to the tenant in their portal.
Reminder letters: in case of late payment, a compliant reminder letter is generated with the amounts owed and the appropriate legal references.
Indexation notices: the indexation calculation based on the Belgian health index is performed automatically and a notification letter is prepared for sending to the tenant.
Tax certificates: at the end of the year, BailBelgique generates the certificates needed for your Belgian tax return.
All generated documents can be customised with your logo and contact details. They are available in PDF format and can be sent directly by email from the platform.
