What is property management software
Property management software is an online platform that centralises all rental management tasks: lease creation, rent tracking, automatic receipts, indexation calculation, document storage and tax preparation. It replaces spreadsheets and paper files with an integrated, compliant tool.
Property management software is designed to simplify the daily tasks of a Belgian landlord:
- Lease creation: generate legally compliant leases for all three Belgian regions
- Rent management: track payments, detect late payments, calculate rent indexation
- Document management: store and organise leases, inventories, receipts and correspondence
- Financial reporting: income and expense summaries for tax declarations to the FPS Finance
- Communication: structured exchanges with tenants via a tenant portal
Core features of a Belgian property management software
A complete platform for the Belgian market must include:
Compliant lease templates: pre-built templates for Brussels, Wallonia and Flanders, with mandatory annexes and clauses.
Automatic indexation: annual rent indexation calculation using the official health index from Statbel, with EPC restrictions applied per region.
Payment tracking: manual entry or automatic detection via open banking.
Receipt generation: automatic monthly receipts sent to tenants by email.
The most important criterion for choosing a property management software in Belgium is regional compliance. A tool designed for the French or Dutch market will not handle Belgian tri-regional requirements correctly.
Software vs management agency
| Criterion | Software | Agency |
|---|---|---|
| Annual cost | 0-200 EUR | 5-10% of rents |
| Autonomy | Full landlord control | Delegated |
| Time investment | 2-3 hours/month | Minimal |
| Legal compliance | Built into the tool | Agent’s responsibility |
| Emergency handling | Landlord’s responsibility | Delegated |
Software is ideal for landlords managing 1-5 properties who want to keep control and save on agency costs. For larger portfolios, some landlords combine software with selective agency services.
Regional specifics
Brussels-Capital Region
Software must integrate Brussels requirements under the Ordinance of 27 July 2017: indicative rent grid, EPC indexation restrictions, specific lease clauses.
Wallonia
For Wallonia, the Decree of 15 March 2018 requires specific lease templates and mandatory annexes that the software must generate.
Flanders
For Flanders, the Flemish Housing Rental Decree of 9 November 2018 requires Dutch-language documentation. The software must support full Dutch output.
There is no legal requirement to use property management software. However, landlords are legally obliged to issue receipts, calculate indexation correctly (Article 1728bis Civil Code) and maintain records for tax purposes (CIR 1992).
