Why registering your lease is essential

Lease registration is a legal obligation for the landlord in Belgium. It must be completed within 2 months of signing the lease. Yet, an estimated 30 to 40% of leases in Belgium are not registered, often through ignorance of the procedure.

Landlord's obligation

It is the landlord who is required to register the lease, not the tenant. Non-registration is attributable to the landlord, and it is they who bear the consequences.

Preparation: what you need

Required documents

  • The signed lease by all parties, in PDF format (maximum 10 MB)
  • The property inventory signed at move-in, in PDF format (optional but recommended)
  • Any annexes (co-ownership regulations, furniture inventory)

Access to MyRent

MyRent is the FPS Finance online platform for lease registration. Access is via:

  • eID (electronic identity card) + card reader
  • itsme (mobile app)
  • Token (FPS Finance security code)

Information to have ready

Before starting, prepare:

  • Full details of the landlord (name, address, national number)
  • Full details of the tenant (name, address, national number)
  • Exact address of the rented property
  • Monthly rent and charges amounts
  • Start date and duration of the lease
  • Amount of the rental deposit

MyRent tutorial: the steps

Step 1: Log in

Go to the FPS Finance MyRent platform. Log in with your eID, itsme or token. You arrive at the dashboard.

Step 2: New registration request

Click on “Register a lease” and select the type of lease:

  • Main residence lease (the most common)
  • Common law lease
  • Commercial lease
  • Farm lease

Step 3: Party details

Enter the details of the landlord and the tenant. If you have the tenant’s national number, the form pre-fills automatically.

Step 4: Property description

Enter the full address of the rented property, the type of dwelling (flat, house, studio) and the floor area.

Step 5: Lease terms

Complete the financial information:

Step 6: Upload documents

Upload the signed lease in PDF and, if available, the property inventory. Ensure the files are legible and complete.

Step 7: Review and submit

Read through the summary. Check every piece of information. Submit the request.

Step 8: Confirmation

You immediately receive a reference number. The official registration proof is available for download within 24 to 48 hours.

Advice

Keep the registration proof with your copy of the lease. Send a copy to the tenant. This document will be your best ally in the event of a dispute.

The FPS Finance issues a registration proof stating:

  • The registration number
  • The registration date
  • The lease references
  • The parties to the lease

Property inventory registration

The property inventory can be registered at the same time as the lease or separately. Its registration is free and recommended, as it gives it a certain date in the event of a dispute.

Subsequent amendments

In the event of a lease amendment (rent change, extension, change of tenant), a new registration must be carried out for significant modifications.

Common mistakes to avoid

Mistake 1: exceeding the 2-month deadline

Late registration results in a 25 EUR fine and exposes the landlord to the consequences of non-registration during the uncovered period.

Mistake 2: forgetting a co-tenant

In shared housing, all tenants must appear on the registration. A co-tenant not mentioned might not be protected by the registered lease.

Mistake 3: registering an unsigned lease

The uploaded document must be the lease signed by all parties. A draft or unsigned template will be rejected.

Mistake 4: not registering amendments

An amendment modifying the rent, duration or parties must be registered separately to have evidentiary force.

Mistake 5: confusing a main residence lease with a commercial lease

The type of lease determines the registration duties (free vs 0.2%). A classification error can result in a reassessment.
