Digitalisation of lease registration at FPS

How to register a primary residence lease online with the FPS Finance via MyRent. Step-by-step procedure, required documents, deadlines and consequences of late registration.

Why registering your lease is mandatory

Registering the lease with the FPS Finance is a legal obligation for the landlord in Belgium. It must be completed within two months of signing the contract. This formality is free for primary residence leases and gives the lease enforceability against third parties: in the event of the property being sold, the new owner will be bound to respect the registered lease.

Since the digitalisation of the procedure via the MyRent platform, registration can be done entirely online, without travel or postal delivery. The majority of landlords can complete the process in less than 15 minutes.

Major consequence of non-registration

If the lease is not registered, a tenant with a short-term or 9-year lease can leave the property at any time, without notice or termination compensation. This is the most severe penalty for the landlord.

MyRent tutorial: step by step

Step 1: log in

Go to the FPS Finance MyRent platform. Log in with your eID (electronic identity card and card reader) or via itsme. The login securely identifies the landlord.

Step 2: create a new file

Click “Register a new lease” and select the type of lease:

Step 3: enter party details

Enter the details of the owner(s) and tenant(s). For each party, the national register number is required. If multiple owners are involved, each can register the lease separately or give a proxy.

Step 4: describe the property and lease

Enter the full address of the property, the monthly rent amount, the effective date and the lease duration. The system automatically calculates any registration fees.

Step 5: upload the lease

Upload the signed lease in PDF format. The maximum file size is 10 MB. If the file is too large, compress it or scan it at a lower resolution. You can also attach the inventory of fixtures (recommended but not mandatory).

Step 6: validate and confirm

Check all information and validate. You receive immediate confirmation on screen and by e-mail with the registration reference.

Required documents

To register your lease online, you will need:

  • The signed lease by all parties, in PDF format
  • Your eID or itsme for authentication
  • The national register number of each tenant
  • Property information: address, cadastral number (available on your property tax notice)

After registration

Proof of registration

You receive a PDF document by e-mail with the registration reference and date. Keep this document with the lease. It proves the formality was completed within the deadline.

Subsequent amendments

If the lease is amended by addendum (rent change, extension, addition of a co-tenant), the addendum must also be registered. The procedure is identical: log in to MyRent, reference the original lease, upload the signed addendum.

End of the lease

At the end of the lease, no cancellation procedure is required with the FPS. The registration remains valid and is kept in the administration’s archives. In the event of tacit renewal, the original lease remains registered and valid.

Common mistakes

Mistake no. 1: exceeding the two-month deadline. This is the most common and most costly mistake. Set a reminder in your calendar as soon as the lease is signed. A rental management tool does this automatically.

Mistake no. 2: forgetting to register the addendum. An addendum to the lease (rent modification, change of co-tenant) must also be registered. The same two-month deadline applies.

Mistake no. 3: not attaching the annexes. The FPS does not formally require the regional annexes, but the lease is incomplete without them. In the event of a dispute, the judge could consider the lease non-compliant.

Mistake no. 4: using a file that is too large. MyRent accepts PDFs up to 10 MB. Scan at 150 dpi if the file exceeds this size.

Mistake no. 5: believing that a furnished lease is free. Only the primary residence lease is free to register. A secondary residence or furnished property lease for professional use is subject to 0.2% fees.
