Can you manage a rental property remotely?
Yes. Belgian law does not require the landlord to live near the rented property. Remote management is entirely feasible with digital tools, a reliable local contact, and well-organised documents. Many landlords in Belgium manage properties from abroad successfully.
The key challenges of remote management are:
- Physical interventions: repairs, inventory of fixtures, emergency access
- Document management: lease, rent receipts, correspondence
- Tenant communication: responsiveness, availability for questions
- Legal compliance: registration, certificates, deposit management
All of these can be addressed with the right setup and possibly a local agent or trusted person.
Essential tools and organisation
For effective remote management: use a digital platform for rent collection and document storage, appoint a local contact for emergencies, set up clear communication channels with your tenant, and automate recurring tasks (rent indexation, insurance renewals).
| Need | Solution |
|---|---|
| Rent collection | Standing order or online payment platform |
| Document storage | Cloud-based filing (lease, inventories, correspondence) |
| Communication | Email and phone, with written confirmation for important matters |
| Repairs | Local handyman or property manager on call |
| Inventory of fixtures | Local expert or property manager present on site |
| Legal compliance | Digital lease registration, online tax declarations |
Even when managing remotely, the landlord remains legally responsible for all obligations: habitability standards, repairs, deposit management, and providing mandatory certificates. Distance does not exempt from any legal duty.
Hiring a property manager
If fully remote management is not practical, hiring a property management agency (regie) is an option:
- Fees: typically 5-10% of annual rent, plus a one-time letting fee
- Services: tenant finding, rent collection, repair coordination, inventory management, legal compliance
- Contract: a management mandate defines the scope of services and decision-making authority
- Liability: the manager acts on behalf of the landlord and must account for all actions
Before hiring, verify that the agency is registered with the Belgian Institute of Estate Agents (IPI/BIV) and holds professional liability insurance.
Organising your rental documents efficiently is also critical, whether you manage directly or through an agent.
Regional specificities
Brussels-Capital Region
The ordinance of 27 July 2017 imposes the same obligations on all landlords regardless of their location. Brussels properties must meet specific habitability standards that may require local inspections.
Walloon Region
The decree of 15 March 2018 applies equally to remote landlords. Wallonia requires a permis de location (rental permit) for certain types of small housing, which may require a local presence for inspections.
Flemish Region
The Flemish Housing Rental Decree of 9 November 2018 requires compliance with quality standards (woningkwaliteit). Inspections are conducted locally and the landlord must ensure availability for these.
Civil Code, Articles 1719-1735 (landlord obligations). IPI/BIV regulations for property managers. Regional tenancy legislation.
